Items

Keep your own item numbers with their approved manufacturer part numbers, import them from a spreadsheet, and search them across all suppliers.

An item is your team's own part number, for example the number your ERP or PLM uses for a component. Each item lists the manufacturer part numbers you buy it as, so a search for the item covers all of them.

Items replace team part numbers. A team part number you saved earlier on a part page is now an item with that one part number.

The Items page

Open Dashboard → Items to see your team's items. Every member can view them, search the list by item number, manufacturer part number or customer part number, and Export CSV to download them. Each row shows the item's part numbers with their status and lifecycle.

Team owners and admins can also:

  • Add item and edit or delete existing items
  • Import CSV to add or update many items at once, for example an export edited in a spreadsheet

What an item holds

FieldMeaning
Item numberYour number for the item, unique in the team. Matched ignoring case and surrounding spaces
Description, NoteFree text for your team
Customer, Customer part numberFor an item you make for a customer: the customer and the customer's own part number. Searching the customer part number finds the item
Part numbersThe manufacturer part numbers of the item, each with a manufacturer, status, lifecycle, preference and note

Each part number has one of three statuses:

  • Approved: released for the item. Searched first, and the only offers that can be marked as the best price.
  • Qualification: being qualified. Searched after the approved ones, and its offers are flagged.
  • Blocked: must not be bought for the item. Never searched, and its offers are left out of item searches.

Preference orders part numbers with the same status: lower numbers come first. Lifecycle (Active, New, NRND, LTB, EOL, Obsolete, Inactive) is your own record of the part's state.

Items and part numbers that your integration manages are marked Managed by your integration. They can be viewed but not changed or deleted on the Items page or by an import; change them in the connected system instead.

Import from a spreadsheet

Import CSV reads a comma, semicolon or tab separated file of up to 20 MB and 100,000 rows. Select Template in the dialog for an example file.

Each row is one part number of an item. Rows with the same item number belong to the same item, so an item with three part numbers takes three rows.

How an import treats your data:

  • Item-level columns can be filled on any row of the item. If two rows of the same item give different values, the later row is reported as an error.
  • A column that is missing from the file leaves the stored value unchanged. An empty cell in a column that is present clears the value, with these exceptions:
    • An item-level value is cleared only when every row of the item leaves it empty. One filled row sets it.
    • An empty approval_status or preference keeps the part number's stored value. A new part number gets approved and 0.
    • An empty manufacturer does not clear the manufacturer. A part number is matched by its part number and manufacturer, so an empty cell adds a second part number without a manufacturer, and with Replace part numbers the one with the manufacturer is removed. Keep the manufacturer in an exported file when you import it again.
  • Item numbers, customer names, customer part numbers and manufacturer part numbers hold up to 128 characters. Descriptions, notes and manufacturer names have no such limit.
  • Columns with other names are ignored and listed in the preview.
  • Without Replace part numbers, an import only adds and updates part numbers. With it, part numbers of the imported items that the file does not list are removed. Part numbers from your integration are never removed, and an item with a rejected row keeps all its part numbers.

Check the file first

Check file runs the whole import as a dry run: nothing is saved. The preview shows how many items and part numbers would be created, updated, left unchanged or skipped, and lists every problem with its spreadsheet row. Fix the file and check it again, then select Import. Rows with errors are skipped; the other rows are imported.

Search an item

Enter an item number or a customer part number in the search bar. When it matches one of your items, the item's approved and qualification part numbers are searched together in one search, up to 10 of them: approved first, each in your preference order. Without a match, the term is searched as a part number as usual.

  • Searches used: each part number searched uses one search from your monthly allowance. The item summary above the results shows how many were used. Part numbers that never started, for example because the search reached its time limit, are returned.
  • Up to 10 part numbers per search. For an item with more, choose the part numbers to search in the item summary. The same choice appears when fewer searches are left this month than the item needs.
  • Several items with one customer part number: nothing is searched. Choose the item to search from the list.
  • No part numbers to search: an item with only blocked part numbers, or none, is shown without searching, and no search is used.

Results come as one list, sorted by unit price at the quantity you enter. Switch to By part number to group them. The best price is only highlighted on approved part numbers that match the item exactly.

Each offer shows how it relates to the item:

BadgeMeaning
ApprovedAn approved part number of the item
QualificationThe part number is still in qualification for the item
Manufacturer not approvedThe supplier offers this part number from a different manufacturer than the item lists
Manufacturer unknownThe manufacturer you entered for this part number is not recognised yet
Similar partThe supplier returned a different part number for this search

Items elsewhere

  • Part pages show every item that uses the part. Select an item to open it on the Items page.
  • Watchlist rows show the items of each watched part, and the watchlist search finds them by item number.
  • Search suggestions include your item numbers and customer part numbers as you type.
  • API and AI assistants can read your items and search them too: see the items endpoint, item search and the MCP server.
